Examinations Officer & Data Analyst

Job Purpose and Department

The Examinations Officer & Data Analyst is a dual-role position responsible for the secure delivery of all internal and external examinations, alongside the accurate analysis and reporting of academic and assessment data. Working closely with SLT, Heads of Department, Academic Support, and Operations teams, the postholder ensures regulatory compliance, high-quality data integrity, and data-informed decision-making across the school.


Role and Responsibilities

Examinations – Preparation and Planning

  • Lead the planning, organisation, and publication of examination timetables for GCSE, A-level, and other qualifications.

  • Manage candidate entries for all external examinations, liaising with Heads of Department and ensuring accurate data is uploaded to the school MIS.

  • Ensure full compliance with awarding body regulations (including JCQ, CAIE, and other relevant boards) and provide guidance or training to staff where required.

  • Coordinate examination venues, rooming, IT, and access arrangements in collaboration with Academic Support and Operations teams.

  • Recruit, train, and manage invigilators.

  • Produce clash lists and coordinate appropriate supervision and arrangements for affected students.

Examinations – During Examination Periods

  • Take overall responsibility for the secure receipt, storage, conduct, and dispatch of examination materials.

  • Oversee the day-to-day running of examination sessions and supervise invigilators.

  • Manage contingencies, incidents, absences, and special consideration requests in line with regulations.

  • Maintain accurate examination records and logs.

Examinations – Post-Examination Processes

  • Coordinate the receipt, checking, and distribution of examination results and certificates.

  • Manage post-results services, including enquiries about results, reviews of marking, and appeals.

  • Respond to examination-related queries from students, parents, and staff.

  • Support the organisation and delivery of mock examinations, internal assessments, and university admissions tests.

Data Analysis and Reporting

  • Collect, manage, and analyse academic, assessment, attendance, and examination data across year groups.

  • Maintain accurate data sets within the school MIS and associated tracking systems.

  • Produce clear reports and dashboards for SLT to support monitoring of progress, attainment, and outcomes.

  • Support Heads of Department and academic leaders with data to inform interventions and strategic planning.

  • Ensure data accuracy, consistency, and compliance with data protection requirements.

Other Duties

  • Maintain and review examination- and data-related policies and procedures.

  • Work collaboratively with academic and pastoral teams to support student outcomes.

  • Ensure all duties are carried out in line with safeguarding requirements.

  • Undertake any other reasonable duties as requested by SLT.


Person Specification

  • Experience in examinations administration and/or data analysis in an educational or regulated environment.

  • Strong organisational skills with exceptional attention to detail.

  • High level of competence in data handling, spreadsheets, and reporting tools.

  • Ability to work accurately under pressure and to strict deadlines.

  • Clear commitment to safeguarding, confidentiality, and regulatory compliance.

  • Experience working with UK or international examination boards.

  • Familiarity with school MIS platforms (e.g. iSAMS, ManageBac).

  • Experience producing dashboards or reports for senior leadership.
