Position: Librarian

Start Time: ASAP/August 2026

Job Purpose

To support the effective day-to-day operation of the school libraries by assisting with resource management, circulation services, and administrative tasks. The role ensures that library collections are well-organized, accessible, and maintained to support teaching, learning, and reading engagement across the school.


Key Responsibilities


1. Collection Development Support

  • Assist in sourcing and recommending reading materials based on curriculum needs, safeguarding requirements, teachers’ recommendations and student interests

  • Support the ordering and purchasing process of library resources

  • Check deliveries against orders and report discrepancies

2. Cataloguing and Processing

  • Catalogue new materials in the library management system following established standards

  • Process new resources, including stamping, covering, barcoding, and labelling

  • Ensure accurate data entry and classification of materials

3. Circulation Services

  • Manage the issuing, returning, and renewing of library materials

  • Assist students and staff with locating and borrowing resources

  • Monitor overdue items and prepare notices or reminders for lost/damaged books

  • Support book compensation processes

4. Shelving and Collection Maintenance

  • Shelve returned materials accurately and maintain proper shelf order

  • Conduct regular shelf checks to ensure organization and accessibility

  • Assist with stocktaking and inventory control

  • Support weeding and withdrawal of outdated or damaged materials

5. Resource Maintenance

  • Repair damaged books and materials where appropriate

  • Prepare materials for replacement or withdrawal when necessary

  • Maintain the physical condition and presentation of the library collection

6. Library Systems and Administration

  • Assist in maintaining and updating the library management system

  • Assist in maintaining and managing library databases and users accounts

  • Generate basic reports (e.g. circulation, overdue items, inventory)

  • Support data accuracy and system organization

7. General Library Support

  • Help prepare library spaces, displays, and resources for activities or events

  • Support daily library operations across the school

  • Provide general assistance to students and staff in a courteous and professional manner


Person Specification

Essential

  • Bachelor degree as a minimum; English or Information Science major preferred;

  • Fluent in English and Chinese

  • Good organizational skills and attention to detail

  • Basic IT skills and ability to learn and operate on library systems

  • Ability to manage routine administrative tasks efficiently

  • Good communication and interpersonal skills

  • Ability to work independently as well as work effectively as a team

Desirable

  • Previous experience working in a library or school environment

  • Familiarity with library systems (e.g. Destiny, Koha, Book Systems, Accessit, Titlewave, AR, and so on)

  • Knowledge in children’s literature and interest in reading promotion

Reports to the School Librarian / Head Librarian

  • External suppliers  (book vendors, Taobao suppliers, when required)


Additional Notes

  • The role may involve supporting multiple library spaces within the school

  • Tasks may vary depending on school needs and library development priorities
