KEY RESPONSIBILITIES

Procurement

• Ensuring office and school supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times

• Negotiate the best deal for pricing and supply contracts. Ensure that the products and supplies are “good value for money”

•Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times

•Books, learning materials, staff uniform, D&T, Lab, school Insurance, FM supplies, Stationery, Services. Sourcing, vetting vendors, and making quotations. Create and maintain professional relationships with vendors/suppliers.

•Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development.

• Maintain records of purchases, pricing, billing and produce reports for reviewing.

School monthly stationary procurement.

 

Renovation 

Make the School renovation plan and following up the projects.

Coordinate with vendors in school renovation and follow up on the project process.

 

Vendor Management

Sourcing the qualified vendor

• Review and analyze all vendors/suppliers, supply, and price options

•Archive vendor ‘s contracts and related documents. Ensuring the confidentiality and security of contractor files and filing systems.

•Assessing vendors

 

Decoration and landscaping

 

Others

•Preparing admin expense reports and office budgets and reporting on office expenditures monthly.

•Support school activities.

Support government campus inspection.

PERSON SPECIFICATION:

QUALIFICATIONS

· Bachelor’s degree in English/Business or related field.

LANGUAGE

· Native Chinese speaker and fluent in English.

WORKING EXPERIENCE

· 1+ years relevant working experience preferred.

· Previous experience in school office will be an advantage.

CPMPETENCIES

· Proficiency in using MS Office, including Outlook, MSTEAMS, Excel and Word.

APTITUDES

· Excellent communication and interpersonal skills, with the ability to communicate effectively with different types of people and in a cross-cultural environment.

· Demonstrating practice that represents the five core SPGS values at all times (Achievement, Community, Liberalism, Creativity and Possibility).
